How to Archive/Purge HelpDesk Data

Tech Tip:


Currently HelpDesk does not have a built in function to archive / purge old data records from the MDB.


You can do this manually as follows:


First and MOST important, please make a safe backup of your database.


Then, find a location you want to use to 'store' the archived information.  Then make a copy of your existing helpdeskx.mdb and put into this stored location.  Example of a folder called 'HDPurge2001_2007'.


Then open the database.  You will be working with a number of tables here.  The most important ones are the Inquiry, TimeLogs and Links.


Start with the Links.  Open the table and sort by 'date' order.  Remove all the records you DON'T want (ie current records).  Keeping only the ones you want to archive.


Then do the same thing for the TimeLogs table and then the Inquiry Table.


Once that is completed, you should now have your 'archived' inquiries.


Next, you will do the reverse for the live database only for all tables.  This time KEEPING current and deleting old ones. 


If you are familiar with coding, writing scripts and quires your know-how will work wonders here and save a LOT of time.


When you are finished, please remeber to compact/repair the database BEFORE you start using it.
